The Role
As Office & Operations Manager, you will be the operational backbone of Antidote — the person who makes sure the office runs like clockwork and our events land flawlessly. You'll be the first face members, investors, and guests see, and the person who quietly ensures everything behind the scenes is in order.
Events & Calendar Management
- Own and run our event calendar end-to-end: scheduling, logistics, supplier coordination, set-up, run-of-show, and tear-down.
- Manage external suppliers and vendors: caterers, AV, photographers, security, and venue partners where events run off-site.
- Coordinate guest lists, RSVPs, and on-the-night check-in; track attendance and gather feedback post-event.
- Work with the founders and content team on event promotion, ensuring deadlines for invites, listings, and partner deliverables are met.
- Monitor event budgets and reconcile costs against revenue; flag variances early.
- Build and maintain relationships with sponsors and partners across the event lifecycle, ensuring their deliverables are honoured.
Office Management
- Serve as front-of-house for Antidote: welcoming members, visitors, sponsors, and investors, and setting the tone for their experience of the space.
- Manage the day-to-day running of the office: opening and closing, mail, deliveries, security, food & beverage, and ensuring the space is presentable at all times.
- Coordinate with the landlord on office management-related matters; act as the point of contact for The Bindery.
- Manage office supplies, equipment, and IT basics and escalate technical issues as needed.
- Health and safety: keep the office compliant (fire safety, first aid, risk assessments) and maintain records.
- Coordinate desk allocations and meeting room bookings for the team, cohort companies, and members.
- Handle incoming enquiries — triaging to the right person or handling directly.
